OneDrive vs. SharePoint vs. Teams: What Should Your Business Use?

OneDrive, SharePoint, and Microsoft Teams are all part of Microsoft 365, but they are not interchangeable. Each one is designed for a different type of work.

Using the right platform can make it easier to find files, control access, collaborate with coworkers, and keep important business information from getting lost in email attachments or personal folders.

Here is a simple way to think about it:

OneDrive is for my files. It is best for individual work, drafts, and documents that are not yet intended for a larger team. You can still share files with specific people when needed.

SharePoint is for our files. It is designed for organized, long-term shared documents such as company policies, client resources, department files, templates, and team knowledge.

Teams is for working together. It brings chat, meetings, calls, and active file collaboration into one workspace. Files shared in Teams channels are stored in SharePoint behind the scenes.

If one employee is working on a document, OneDrive may be the best fit. If a department needs a central, long-term location for shared documents, SharePoint is usually the better choice. If a group needs to communicate, meet, and collaborate on active work in real time, Teams can provide the right workspace.

The key is choosing the tool that matches the work your team needs to do.
